
Challenge
Preferred Imaging, a premier litigation support and document management consultant in Indiana, was assisting a law firm client engaged in a major litigation case. Tens of thousands of sensitive documents and photographs needed to be scanned and organized to support the facts in the firm’s suit, and everything needed to be ready for presentation under an extremely tight timeline. The most current documents were still in active use, and therefore it was impossible to remove them off-site for processing. To complicate matters further, these documents resided in the offices of over 40 agricultural service companies throughout a multi-state area, often in smaller rural communities. Preferred Imaging immediately started the task scanning these documents on site as required by their client, but after completing the scanning at two or three sites, it became apparent they would need additional resources to help them complete the job on deadline.
Choosing DISC
Preferred Imaging needed to provide a solution for their client, and they needed to do it fast. They immediately contacted several document imaging providers in and around the states of Indiana and Illinois, and vetted them to ensure they had the proper resources, skills and security levels to do the work required. Getting responses from many of their competitor companies proved a challenge, but DISC was quick to respond to their inquiries, and possessed the expertise and experience Preferred Imaging was looking for.
Located in St. Louis, Missouri, DISC was the obvious choice to handle the scanning and indexing of documents from 11 sites throughout the state of Illinois. Upon arrival at each site, DISC personnel quickly started the laborious process of preparing the documents for scanning, going through each sheet of paper to remove staples, paper clips and tape, and flattening out folded pages and bent corners. Each site had approximately 2-4 file boxes of documents to be scanned; black and white scans were sufficient for most of the documents, but the records also contained photographs and color-coded field maps which needed to be scanned in color.
DISC went quickly from site to site, setting up their digital imaging equipment, preparing documents and running the physical scans as efficiently as possible. The final scanned files were sorted into appropriate folders and sent to Preferred Imaging in agreed formats.
